This Privacy Policy explains how Prospect4U ("we", "us", "our"), operated by Trackk, collects, uses, stores, and protects information when you use the Prospect4U AI Lead Generation System ("Platform").

Depending on how you use the Platform, we may collect and process:

• Name and contact information
• Professional email address
• Company name and website
• Industry, location, and business requirements
• Lead status and lead scores
• Information uploaded through supported files such as PDF and Excel files
• Email messages and email conversation history
• Calendar information needed to schedule and manage meetings
• Information voluntarily provided by users or their contacts
• Information generated through the Platform's lead management and sales features

Users are responsible for ensuring that they have the necessary rights and permissions to upload and process information through the Platform.

Prospect4U allows users to connect their Google account to use Gmail and Google Calendar features. Google access is requested only after the user chooses to connect their Google account and grants the requested permissions.

Gmail Data

Depending on the permissions granted by the user, Prospect4U may access Gmail messages and related information in order to:

• Allow the user to view and search Gmail messages from within Prospect4U
• Help the user review existing email conversations with leads and contacts
• Allow the user to send emails from their Gmail account when the user chooses to send an email through Prospect4U
• Support email follow-up and communication features requested or configured by the user

Prospect4U only accesses Gmail data that is necessary for these features and only after the user grants the requested permission.

Google Calendar Data

Depending on the permissions granted by the user, Prospect4U may access Google Calendar information in order to:

• Create, update, or delete calendar events when requested by the user
• Help users schedule and manage meetings
• Synchronize meeting and scheduling information between Prospect4U and Google Calendar
• Support calendar-management features that the user chooses to use

Prospect4U does not access Google Calendar data for purposes unrelated to providing these calendar features.

Information collected through Prospect4U may be used to provide the Platform's user-facing functionality, including:

• Creating and managing lead records
• Analyzing and scoring leads
• Displaying and managing email conversations
• Sending emails when initiated or configured by the user
• Supporting email follow-up workflows
• Scheduling and managing meetings
• Creating, updating, and deleting calendar events when requested by the user
• Detecting and classifying replies
• Identifying meeting, pricing, or information requests
• Maintaining campaign and dashboard information
• Providing recommendations and other features displayed within Prospect4U

Platform's use of information received from Google APIs is limited to providing and improving the user-facing features of Prospect4U for which the information was requested.

Google user data is not used for unrelated purposes. Prospect4U does not sell Google user data or transfer Google user data to advertising platforms, data brokers, or other information resellers.

Prospect4U does not use Google user data for personalized or interest-based advertising.

Prospect4U does not use Google user data to determine creditworthiness or for lending purposes.

Prospect4U does not use Google user data to create, train, or improve a general-purpose artificial intelligence or machine-learning model.

Where Google user data is processed by a service provider, that processing is limited to providing or improving the Prospect4U functionality for which the data was accessed, or to security and legal compliance purposes.

Platform's use of information received from Google Workspace APIs adheres to the Google User Data Policy, including applicable Limited Use requirements.

Prospect4U uses artificial intelligence to provide features visible within the Platform, such as:

• Lead analysis
• Lead scoring
• Business summaries
• Intent classification
• Identifying potential interest
• Detecting meeting or demo requests
• Generating recommendations
• Assisting with user-requested email communication

AI processing is used to provide the corresponding Prospect4U functionality and is not used to create or train a general-purpose AI model using Google user data.

AI-generated results may not always be accurate and should be reviewed where appropriate.

Prospect4U may process email communications to provide email management, sales follow-up, and communication features.

When a user chooses to send an email through Prospect4U, Prospect4U may use the user's authorized Gmail account to send that message.

Prospect4U may also process incoming replies to support user-facing features such as:

• Updating lead information
• Identifying responses
• Detecting requests for meetings, pricing, or additional information
• Supporting follow-up workflows

Automated email processing is used to provide the email and lead-management functionality available within Prospect4U.

Prospect4U does not use Gmail data for advertising or unrelated purposes.

Prospect4U may use automated processes to support user-configured email workflows.

For example, the Platform may analyze incoming replies and update the associated lead record. The Platform may also identify leads that have not replied within a user-configured period and, where the user has configured such a workflow, send a follow-up communication.

The system is designed to avoid sending follow-ups where a relevant reply has already been detected.

Prospect4U may use service providers that are necessary to operate and provide the Platform, including providers for:

• Cloud infrastructure and hosting
• Databases and storage
• Email delivery and processing
• Artificial intelligence processing
• Application infrastructure and security

Service providers receive information only when necessary to provide or maintain the relevant Prospect4U functionality, or for security and legal compliance.

Google user data is not sold or transferred to advertising platforms, data brokers, or information resellers.

We do not sell personal information as a standalone commercial product.

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, alteration, loss, misuse, or disclosure.

Data is transmitted using secure communication protocols such as HTTPS. OAuth credentials and tokens are protected using appropriate security controls.

Prospect4U retains information for as long as reasonably necessary to provide the Platform's functionality, maintain user-requested records, maintain security, and comply with legal obligations.

Users may request deletion of their information by contacting us at:

When a user disconnects their Google account, Prospect4U will stop accessing Google APIs using the revoked authorization.

Users may also revoke Platform's access to their Google account through their Google account settings.

Subject to applicable law, individuals may request:

• Access to their personal information
• Correction of inaccurate information
• Deletion of their information
• Cessation of further marketing communications

Organizations using Prospect4U are responsible for configuring their lead-generation, outreach, and follow-up activities in accordance with applicable privacy, marketing, and communication laws.

Users may upload lead information through supported files, including PDF and Excel files.

Uploaded information may be processed to:

• Create and manage lead records
• Analyze leads
• Generate lead scores
• Support outreach and follow-up activities
• Provide other features requested by the user

Users are responsible for ensuring that they have the necessary rights and permissions to upload and process this information.

If Prospect4U undergoes a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction where permitted by applicable law and subject to applicable privacy requirements.

We may update this Privacy Policy when our services, technology, or legal requirements change.

The updated policy will be published on this page with a revised "Last updated" date.
